Learn About Boundless Journeys’ Reservations, Refunds, & More

From single supplements and payment schedules to trip cancellation insurance and multi-trip discounts, here are some of the finer details you should know about Scheduled Group Departures and Custom Tours with Boundless Journeys. Explorers Club

EXPLORERS Club TERMS & CONDITIONS

Every Boundless Journeys guest is eligible for 5% in Explorers Club savings after your very first trip, to be applied to your next scheduled, small-group trip taken within two calendar years. The savings amount increases to 10% for milestone trips (your 5th and 10th). Both custom and scheduled tours taken after 1/1/2017 count towards your trip total. Explorers Club savings are redeemable only on our scheduled, small-group departures, and cannot be combined with other savings.

Scheduled Group Departures

Reservations

Reserve early! Our tours often fill months in advance, and our maximum group size is smaller than most tour operators. For immediate confirmation of your trip, call our office directly at 1-800-941-8010, and we will charge your initial deposit to your credit card. You may also request a reservation online. We will confirm your reservation within one business day of receiving your application. Upon receipt of your deposit, we will mail your confirmation letter, detailed trip planner (including packing suggestions, useful destination information, and a suggested reading list), and insurance recommendations.

Payment Schedule*

At the time of reservation: $500 USD per person, plus internal airfare if applicable.

90 days prior to tour departure: Balance due.

*Payment schedules for some safaris, custom trips, and certain special events vary. These exceptions are clearly indicated in the detailed itineraries for each of these trips.

All payments may be made by check or credit card. Prices are in US dollars, and all payments must be made in US dollars. Prices may be subject to change prior to confirming a reservation. Once a trip is confirmed with a deposit paid, the price is guaranteed with the following exceptions: foreign currency fluctuations in excess of 5% from the rate on date of confirmation and unforeseen increases in government taxes, fees, and levies beyond the control of Boundless Journeys.

Single Supplements

Accommodations (hotels, tents, cruise cabins) are based on double occupancy. A single supplement is paid by participants who specifically request single accommodations, subject to availability. If you reserve at least 120 days prior to departure, you may be eligible for a reduced or free single supplement.* This is generally limited to the first one or two solo travelers to reserve, and the reduction is outlined in the pricing for each trip. Please note free or reduced single supplements are not combinable with other offers or promotions. If you are traveling alone and wish to share accommodations, we will try to match you with a roommate of the same gender. If you reserve at least 120 days ahead and a roommate is not available, you will only be charged a “forced” single supplement in the amount of 50% of the standard single supplement (unless otherwise noted in the detailed itinerary). Single accommodations are limited so you are encouraged to reserve early!

Cancellations & Refunds

If you need to cancel your trip, you should call Boundless Journeys or your travel agent immediately, and then send notification in writing by email, fax, or mail. Certain fees will apply calculated as of the date Boundless Journeys receives written notice of cancellation.

Cancellation Fee Schedule*

  • Minimum fee is $100 per person
  • 90 to 61 days before departure is 25% of the trip price
  • 60 to 46 days before departure is 50% of the trip price
  • 45-0 days prior to departure is 100% of the trip price

*Cancellation and transfer schedules for cruises, safaris, custom trips, and certain special events are often more strict. These exceptions are clearly indicated in the detailed itineraries for each of these trips. Internal airfare purchased on your behalf by Boundless Journeys is subject to the airline’s cancellation policies.

Transfers

You may transfer to another trip that is within the same calendar year without penalty by notifying us of your wish to transfer 90 days or more prior to departure. After that time our normal cancellation fees apply.

Cancelled Trips

In the rare event that Boundless Journeys must cancel a tour, all trip members will be notified a minimum of 60 days before the trip departs and will receive a full refund of payments made to Boundless Journeys. Boundless Journeys reserves the right to cancel any tour for any reason, including insufficient tour enrollment. Boundless Journeys is not responsible for expenses incurred by guests in preparing for a cancelled tour, including, but not limited to, nonrefundable airline tickets, visa fees, inoculations, equipment, etc. We encourage you to contact our office prior to purchasing your airline tickets to check the status of your tour.

Trip Cancellation Insurance

We strongly recommend purchasing Trip Cancellation and Interruption Insurance. Travel insurance information is enclosed with your trip planning materials, or a policy can be purchased through our office or your travel agent. This can help prevent needless loss in case of serious illness, accident, or death of the traveler, traveler’s immediate family, or traveling companion.

What Your Trip Includes

The land cost for a typical trip includes the following:

  • Expert leadership
  • Accommodations during your tour
  • All or most meals
  • All activities as noted in the itinerary and the necessary equipment for such activities
  • Ground transportation and support vehicles
  • Luggage transport
  • Entrance fees and permits
  • Gratuities for meals, porters, and hotel service

Each trip varies slightly, so speak with our travel experts or ask for a detailed itinerary that includes the specifics. Travel to and from tour meeting/departure points, pre- and post-tour accommodations and meals, optional activities, optional gratuities for your guide(s), and personal items are not included.

Custom Tour Departures

Custom Tour Reservations

Plan ahead! While we often organize amazing private trips for our clients with as little as 4-6 weeks notice, we recommend contacting Boundless Journeys at least 12 months ahead to assure the best availability for your dates. To begin the conversation about your Custom Tour, call our office directly at 1-800-941-8010. Custom Tour Payment Schedule*

Initial group deposit: $500 USD to proceed with confirming your Custom Tour dates.

Within two weeks of confirmation: $500 USD per person, plus internal airfare (if applicable).

120 days prior to Custom Tour departure: Balance due.

Custom Tours

Complimentary Initial Consultation

A complimentary initial consultation by a Boundless Journeys Trip Planning Specialist is included for all Custom Tour inquiries. During this initial consultation, a budget range (excluding airfare), number of participants, and preliminary itinerary (subject to amendment due to availability and budget issues) will be agreed on.

Custom Tour Planning Fee

In recognition of the additional time required to customize an itinerary to meet your specifications, Boundless Journeys may charge a Custom Tour Planning Fee. This fee, payable at the end of the Initial Consultation, is non-refundable and will be applied to the final balance of the trip. This fee allows for 10 hours of the Tour Planner’s time. For longer, more complex trips, or subsequent changes made to the preliminary itinerary at the traveler’s request, an additional Custom Tour Planning Fee may be charged separately from the final balance of the trip.

Price

The tour price is based on the number of participants in your group and the agreed upon itinerary. Should your group decrease in size prior to your departure, Boundless Journeys reserves the right to adjust the price accordingly.
